A BPM Project: Reduction of Misplaced Invoice across Companies 

 

 

Opportunity

In procurement management processes, there were plenty of written and cancelled invoices due to miscommunication among partner companies. Frequently, the purchasing decision and price were misunderstood due to the fact that the process involves more than one company, each stakeholder was focused on its own priorities. Hence, this process was not perceived as a business process across companies, but as a particular issue for each department in the value chain.

Execution

In this project, prior to creating lean process flow, the whole process’ current state is drawn using Makigami method. Manual data entry requirements are minimized and a data flow is created.

 

 

Conclusion

Notification system among different stakeholders led fluent process flow among companies and departments. The invoice amount due to misunderstanding is reduced from 6 million to 0,3 million. The project does not have hard savings but saving in work force, by creating lean document and business flow.
